About the role
As the Administration Assistant, you will be the first point of contact for families and the voice of Wesley OOSH. You will manage enquiries, support enrolments, oversee CCMS processes, and handle accounts and payments across our services. This role requires someone who is organised, calm under pressure, and confident working independently while embedded within a high-performing leadership team.
You will work closely with the Head of OOSH and the wider management team, contributing to important operational conversations and ensuring families experience professionalism and care at every interaction. This is not a task based administration role. It is a position of trust, responsibility, and influence within a growing portfolio of 14 services.
You will have autonomy in your work and the expectation to manage your responsibilities without daily direction, while being supported by a committed team focused on strengthening our sector and delivering excellence across Wesley OOSH.

You are organised and self directed. You do not wait to be managed and you take ownership of your responsibilities. You understand the importance of accuracy when working with accounts, payments, and CCMS, while never losing sight of the human experience behind each enquiry.
You enjoy working closely with a leadership team, contributing to meaningful conversations, and being part of a group committed to strengthening our sector and supporting families well.
Demonstrated behaviours
Essential skills and knowledge
• Early Childhood Education and Care qualification or equivalent
• Sound working knowledge of the National Quality Framework and My Time, Our Place
• Minimum one year experience working in a children’s service
• Demonstrated experience coordinating or leading a team
• Ability to plan, implement, and review high quality programs
• First Aid, Asthma and Anaphylaxis qualifications
• Knowledge of workplace health and safety
• Current Working with Children Check
• Completion of approved Child Protection Training
• Current driver’s licence
• Strong organisational skills with the ability to prioritise and meet deadlines
• Well developed written and verbal communication skills
• Proficient computer skills including Microsoft Office and QikKids
• Willingness to work split shifts as required
